We offer a full Data Protection Compliance Service which will ensure that your business is compliant under the new Regulation (GDPR). Even though many businesses have read up on the GDPR and even attended talks, there still seems to be a lot of confusion around the issue of how to implement the necessary measures to ensure compliance.

We can do all this for you so as you can get on with running your business.

The steps involved in our Compliance Service will depend on the size and type of organisation, but for most SMEs, the process would be as follows:

1. Data Protection Officer (DPO) or Privacy Officer

  • If a DPO is a mandatory appointment under the GDPR this person can be a trained member of staff or an external consultant so you can appoint us to act as your DPO
  • If a DPO is not mandatory, a Privacy Officer should be appointed. This person would be the point of contact for any Data Protection issues or queries, their role and duties would be dependent upon the organisation

2. Data Mapping/Gap Analysis

  • Meet with all staff who are involved in processing data and gain an understanding of the processes
  • Establish a list of data processing activities and types of personal data processed
  • Identify any vendors/data processors involved in processing on behalf of the organisation
  • Understand where the data is being transferred and to whom, where it is hosted, and for how long it is retained
  • Identify how consent is obtained for the processing of personal data 
  • Identify gaps in compliance
  • Verify data security measures and identify shortfalls

3. Prioritise Compliance Actions

  • Ensure the organisation is only collecting and storing personal data that is strictly necessary
  • Identify the legal basis for processing
  • Review any existing privacy policies and identify updates required
  • Contact vendors to assess awareness of new obligations under the GDPR and revise service agreements where necessary
  • Review the mechanisms in place to verify ages and obtain consent if processing data for minors
  • Define a procedure for handling subject access requests (SARs)
  • Define a procedure for handling breach reporting

4. Managing Risks

Having identified any high-risk area in processing in the steps above, a need for any Data Protection Impact Assessments (DPIAs) will be highlighted

  • Carry out DPIAs as required
  • Outline scenarios where future DPIAs will be necessary

5. Organisation of internal Processes

  • Implement internal procedures to ensure personal data is protected at all times
  • Train staff on relevant procedures

6. Document Compliance Measures

The necessary documentation will include:

  • Record of data processing activities
  • DPIAs for high risk processing
  • Any data transfer mechanisms to third parties
  • Privacy notices
  • Consent forms, including evidence of consent when consent is the legal basis for processing
  • Procedures for handling individual’s data protection rights
  • Contracts with vendors/data processors
  • Internal procedures for responding to a data breach

The Waterford Hospice ‘Buy-A-Brick – Let’s Build It Together’ campaign for the new Regional (South East) Palliative Care Unit at University Hospital Waterford (UHW), which was recently launched by Waterford hurler, Michael ‘Brick’ Walsh, has started to gain momentum with support from the Construction Industry Federation (CIF). The initiative, which gives donors an opportunity to buy ‘virtual bricks’ via 3 easy steps on its website www.waterfordhospice.ie/fundraising/buy-a-brick.com, is a way for individuals, businesses and organisations to contribute in a meaningful way towards the construction of the new building.

At the recent South East Branch Construction Industry Federation Annual Dinner, Stephanie Taheny, Board Member, Waterford Hospice and Director of Noel Frisby Construction Ltd., made a special appeal to fellow CIF members to kick-start the fundraising campaign by asking them to support the initiative. To date, €10,000 has already been donated by members of the CIF with promises of additional support yet to be fulfilled.

Having pledged €6 million towards the building, (€4.5 million of which has already been secured to date), Waterford Hospice is issuing a renewed appeal for the remaining €1.5 million for completion of the unit by 2019, which will comprise 20 in-patient beds, provide day services and become a new base for the Waterford Hospice Home Care team.

Danette Connolly, Chairperson, Waterford Hospice, said, “we’re delighted to be so close to reaching our target of €6 million with the final €1.5 million now in sight. Given the amazing response, generosity and incredible support of the people of the south east, who understand how vital this unit is for the region, we are optimistic this goal can be achieved”.

With construction of the €26 million building well underway and on schedule to be up and running by next year, Waterford Hospice is now calling on individuals, businesses, organisations, social groups, volunteers and diaspora to fundraise over the next year and to nominate the hospice as their chosen charity in 2018/2019 in an effort to meet the €1.5 million target. Additionally, individuals who are thinking of making a will, and where they have sufficient funds to provide for family and friends, are being asked to consider Waterford Hospice as a beneficiary.
